Plan an AI automation around a real workflow

Find a repetitive task, define where human review belongs, and test the workflow before relying on it.

AI is a useful part of an automation only when it improves a real process. Start with the work people already do, identify the repetitive step, and decide what a safe and helpful result looks like.

Understand the current process

Write down what starts the task, which tools and information are involved, and what the person does with the result. This can reveal that a simpler integration or rule would solve the problem without AI.

Set boundaries for the system

Decide what information the workflow may use, what actions it may take, and which decisions stay with a person. For uncertain or consequential output, keep a review step before anything is sent, saved, or acted upon.

Test with real examples

Try the workflow on a small set of representative cases, including incomplete and unusual inputs. Check correctness, handling of sensitive data, and how easy it is for someone to catch and fix an error before expanding its use.

  • Choose a repeated task with a clear starting point
  • Define a useful result and acceptable mistakes
  • Keep human review where judgment matters
  • Measure time saved alongside correction effort
  • Document how to pause or fall back to the manual process
